Deliver a proactive and flexible HR service by providing relevant and appropriate HR support to the senior Board, Regional Directors and Managers whilst driving best practice and ensuring compliance with all company procedures, documented policies and employment legislation.  

To be pro-active and responsive to the needs of managers and staff, reflecting the company’s objectives.

To provide support for the HR Director and other members of the HR and Company Secretarial team.

Customers – internal and external



To interpret and research employment law and HR best practice to ensure advice and guidance is both accurate and up to date. Ensure management teams are appropriately updated on new employment legislation.

To provide first level, best practice operational guidance to managers and Regional Directors on:

  • recruitment, selection and induction processes;
  • disciplinary and grievance investigations;
  • performance management processes;
  • change management processes;
  • sickness absence management;
  • maternity/paternity/parental leave etc;

and all other HR policies and procedures, in line with current legislation.

To advise and attend recruitment/disciplinary/grievance meetings as appropriate (and take notes at such meetings as required).

To carry out Exit Interviews and report findings to HR Director and Senior Board.

To analyse HR data and to produce reports, including any recommendations, for HR Director and Senior Board.

To oversee the issue of contracts of employment and extensions/changes to contracts for Caffyns employees.

To attend training (and maintain Personal Development Plan as required.)

To maintain knowledge of current employment law and HR best practice, and adhere to company policies and guidance.

To promote the company and HR function’s profile internally and externally at all times.

To work flexibly and provide cover for colleagues across the department when necessary.

To ensure high standards and quality of work at all times.

To draft and produce correspondence in relation to HR issues.

To assist in the Company Secretarial work as required.

To provide a secretarial service to the HR Director and the senior Executive team as required.

To provide a general administration and an efficient support service as required e.g. updating of HR employee database, HR spreadsheets, answering telephone calls, taking messages, typing letters, responding to external reference requests, whilst communicating effectively and professionally with both internal and external customers, ensuring confidentiality of all written and verbal communication.

To carry out other duties commensurate with the post as directed.



This list of duties is not exhaustive and other tasks and responsibilities will be required of the post holder including any other duties commensurate with the post as requested by the HR Director and Senior Board.

Personal Specification


Essential:  English and Maths GCSE at grade C or equivalent

Desirable: Associate or Chartered member of CIPD


Skills and Experience:


Proven knowledge of employment legislation and HR procedures and policies

Proficient in the use of MS Office and HR Systems

Proven written, numerical, communication and verbal skills

Accurate typing skills recognising need for attention to detail

Previous HR admin/advisor related experience

Experience of corresponding and communicating with employees

Proven experience of working within a constantly changing environment

Car Driver as travel to branches by pool car required
